Protecting your personal data is a top priority at Chaud Devant. In this Privacy Policy, we provide clear and transparent information on how we treat (your) personal data.

We make every effort to guarantee your privacy and, therefore, handle personal data with great care. Chaud Devant does, in any event, comply with the applicable laws and regulations, including the General Data Protection Regulation. In any event, this entails that:
- We will process your personal data for the purpose for which provided. We describe these purposes and the types of personal data in this Privacy Policy;
- When processing your personal data, we will only include the personal data that's needed for the purposes for which collected;
- We will ask for your explicit consent to process your personal data when your consent is required;
- We have taken suitable technical and organisational measures to guarantee the protection of your personal data;
- We will not share your personal data with third parties unless required to fulfil the purposes for which collected;
- We are aware of your rights with respect to your personal data, we want to inform you about them, and we respect these rights.

Processing personal data relating to clients or suppliers

Chaud Devant processes personal data relating to clients or suppliers for the following purpose(s):
- For administrative purposes;
- For order-related communication;
- To execute or issue an order;
- To provide product information.

The basis for this personal data is:
- The agreed client/supplier relationship;

For the above purpose(s), Chaud Devant may request the following personal data from you:
- First name;
- Infix;
- Surname;
- (Business) phone number;
- (Business) email address;
- Gender.

Chaud Devant will retain your personal data for the above-mentioned processing for the period of:
- For 2 years after termination of the agreement, afterwards only in exceptional cases and in the financial administration for a maximum period of 7 years.

Processing personal data relating to newsletter subscribers

Chaud Devant processes personal data relating to newsletter subscribers for the following purpose(s):
- To inform the person by way of news items.

The basis for this personal data is:
- The Newsletter signup form.

For the above purpose(s), Chaud Devant may request the following personal data from you:
- Email address.

Chaud Devant will retain your personal data for the above-mentioned processing for the period of:
- For as long as you are signed up.

Processing personal data relating to prospects, stakeholders/lobby contacts and/or interested persons

Chaud Devant processes personal data relating to prospects, stakeholders/lobby contacts and/or interested persons for the following purpose(s):
- To provide information in the form of targeted contact.

The basis for this personal data is:
- Verbal permission, providing your business card and/or via a Social Media connection.

For the above purpose(s), Chaud Devant may request the following personal data from you:
- First name;
- Infix;
- Surname;
- Phone number;
- Email address.

Chaud Devant will retain your personal data for the above-mentioned processing for the period of:
- For the period for which you are considered a prospect, stakeholder/lobby contact and/or interested person.

Processing personal data relating to applicants

Chaud Devant processes personal data relating to applicants for the following purpose(s):
- To provide information in the form of targeted contact regarding the application procedure.

The basis for this personal data is:
- The submission of an application following a job opening.

For the above purpose(s), Chaud Devant may request the following personal data from you:
- Name;
- Address;
- Phone number;
- Email address.

Chaud Devant will retain your personal data for the above-mentioned processing for the period of:
- Up to 4 weeks after conclusion of the application procedure or 1 year after conclusion of the application procedure if you've agreed to this.

Conveyance to third parties

We may provide the information obtained from you to third parties if this is necessary for the purposes described above.

For example, we use a third party for:
- The maintenance and upkeep of Chaud Devant's ICT environment;
- The maintenance and upkeep of the CRM system;
- The maintenance and upkeep of Chaud Devant's website;
- The maintenance and upkeep of the (financial) administration;
- The coordination of newsletters and invitations;
- Transport coordination.

We will never convey personal data to third parties unless we have concluded a Data Processing Agreement (DPA) with them, and the same applies to sub-processors located outside of the EU. Naturally, we make the necessary agreements with these parties (Data Processors) to guarantee the protection of your personal data. Also, we will not share the information that you've provided to us, with third parties, unless required or permitted by law. For example, the police may request (personal) information from us in connection with an investigation. In that case, we are required to cooperate and are obliged to provide the information. Also, we are allowed to share personal data with third parties if you have consented to this in writing.

Minors

We will only process personal data relating to minors (persons under the age of 16) if we have received written permission from the parent, caregiver or legal guardian/representative.

Retention period

Chaud Devant will not retain personal data for longer than required for the purpose for which collected or for longer than required pursuant to the law.

Security

We have taken suitable technical and organisational measures to protect your personal data against unauthorised processing. For example, we have taken the following measures:
- A duty of confidentiality binds all persons who can take note of your personal data on Chaud Devant's behalf;
- We maintain a username and password policy on all our systems;
- We ensure pseudonymisation and encryption where relevant;
- We make backups of personal data, so we can restore this information in the event of physical or technical incidents;
- We regularly test and evaluate our measures;
- We have informed our employees about the importance of personal data protection.

Rights with respect to your personal data

You have the right to request to inspect, correct or delete the personal data that you've provided to us. Also, you may object to the way that we or one of our Data Processors process your personal data (or a part thereof).
Also, you have the right to request that we transfer the personal data provided by you to yourself or directly to another party upon your instruction. We may ask that you identify yourself before we comply with your requests.

If you have given us permission to process your personal data, you may always withdraw this permission.

Complaints

Please contact us directly if you have a complaint regarding the processing of your personal data. Naturally, there will understandably be some frustration involved if we can't resolve the matter between us. You are entitled, at all times, to file a complaint with the Dutch Data Protection Authority (the supervisory authority for privacy protection).
